1. Information we collect
We collect personal information to facilitate your ministry journey. This includes:
- Contact Data: Your name, email address, phone number, country, preferred contact method and booking preferences when you register or contact us.
- Ministry & Session Data: Audio recordings and transcriptions generated during your personal 20-minute session.
- Payment Data: Your payment status and reference. Card and banking details are entered directly with our payment provider, PayFast; we never see or store them.
- Website Data: Basic, anonymous statistics about how our website is used (via Google Analytics).
- Testimonies: Written, video, or audio testimonies, processed only after receiving your explicit, written approval for public use.
2. How we use your data
We process your personal information strictly for the following purposes:
- To schedule and facilitate your online or in-person ministry sessions.
- To provide you with your recording, transcription, and Starter Pack.
- To conduct follow-up Review Sessions and provide access to online tools.
- To let past participants know about future sessions. You can ask us to stop at any time.
- To manage our pending NPO registrations and internal administration.
3. Special personal information & consent
Because your ministry sessions may touch on deeply personal, spiritual, or sensitive matters, parts of your data are treated as "Special Personal Information" under POPIA. By booking a session and participating in our process, you give explicit consent for our team members to listen to, record, and transcribe your session to deliver your Starter Pack.
We do not offer sessions to persons under the age of 18 (or the age of majority in their country).
4. Data security and retention
We implement strict operational and technical controls to safeguard your data:
- Confidentiality: Your recordings and session files are strictly restricted to authorized team members involved in your specific process.
- Storage: Your booking details are stored in a secure, password-protected database with our South African web host. Your session recording is sent only to you, directly via WhatsApp or email, so that you have your own copy. Otherwise, it is kept in a private, access-restricted cloud folder (Microsoft OneDrive) set up for you.
- Retention: We only retain your recordings and transcriptions for as long as necessary to complete your five-step journey and review process. You may request the deletion of your recordings at any stage. Registration and booking records are kept only for as long as needed for administration and record-keeping.
5. Third-party sharing
We never sell, rent, or trade your personal information. We only share your data with trusted service providers that help us run our ministry: our web host (HostAfrica), our payment provider (PayFast), email, Viber and WhatsApp for sending you your session details and recording, Microsoft OneDrive for secure file storage, transcription tools, and Google Analytics. They only process your data to provide their service to us, under their own privacy and security terms. Some of these providers may store data outside South Africa; we only use reputable, well-established providers.
6. Your POPIA rights
As a data subject, you have the right to:
- Request access to the personal information we hold about you.
- Request the correction or deletion of inaccurate or outdated data.
- Object to the processing of your data at any time.
- Withdraw your consent for us to store your session recordings.
- Lodge a complaint with the Information Regulator of South Africa (www.inforegulator.org.za) if you believe your information has been mishandled.
